Project Administration Officer

Help Us Help is seeking a motivated and detail-oriented Project Administration Officer to assist with the planning and coordination of our Summer Camp 2025 program. This summer position offers valuable experience in non-profit operations, including volunteer recruitment, supply procurement, and program reporting. Working from our Toronto office, the Project Administration Officer will report to the Program Manager.

This role is funded by Canada Summer Jobs.

To be eligible, applicants must be:

  • Between 15 and 30 years of age (inclusive) at the start of employment

  • A Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act* (*International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents)

  • Legally entitled to work according to the relevant provincial / territorial legislation and regulations.

Responsibilities:

  • Support the Program Manager in the planning and execution of Help Us Help’s Summer Camp 2025, including participant engagement, volunteer recruitment, supply procurement, and reporting.

  • Develop leadership skills by engaging and managing participants of the project including volunteers.

  • Offer support to the Program Manager as required.

  • Engage in specialized training related to charity operations, encompassing digital tools (eTapestry/JustGiving, Excel, Canva, Squarespace), understanding the charity’s background (mission/vision/values/projects), and honing communication skills for constituents (donors/volunteers) and client services.

  • As a non-profit organization dedicated to supporting disadvantaged children and war-torn families in Ukraine, every employee will learn a passion for equity, inclusion and justice and excellent advocacy for disadvantaged and vulnerable groups.

  • Given the modest full-time staff, teamwork is integral to this role. Flexibility in roles and responsibilities is expected, requiring collaboration with colleagues to address priorities set by the Help Us Help Board of Directors and Executive Director.

  • Direct reporting and collaboration with the Program Manager, who reports to the Executive Director of  Help Us Help.

Qualifications:

  • No prior experience is necessary, but desirable assets include fundraising experience, fluency in written and spoken Ukrainian, and grant writing experience.

  • Applicants should have access to a laptop or computer during work hours.

Details:

  • Term: 8 weeks at 35 hours per week.

  • Hourly wage: $18.50 

  • Location: Toronto, ON. Some remote work may be assigned.
